What is ColdCopy?

ColdCopy is an AI outbound system that helps founders and sales teams generate pipeline. It researches prospects, writes personalized emails, simulates responses before you send, and tracks results — all in one platform.

How does ColdCopy work?

ColdCopy follows a proven loop: Define your campaign (target audience + messaging), Train your message in the AI simulator, Launch your outreach (ColdCopy writes and sends personalized emails), and Track results in your Performance dashboard. Every step compounds — the more you train, the better your campaigns perform.

Do I need technical skills to use ColdCopy?

No. ColdCopy handles everything — prospect research, email personalization, sending, and tracking. You just define your target audience and messaging. The AI does the rest.

How is ColdCopy different from other cold email tools?

Most tools send bulk emails. Campaigns & Outreach

How do I create my first campaign?

Go to Campaigns → New Campaign. Enter your product URL, define your target audience (industry, company size, job titles), and describe your value proposition. ColdCopy will research prospects, generate personalized drafts, and let you review before sending.

How does prospect discovery work?

ColdCopy discovers high-intent prospects from multiple sources including GitHub, Hacker News, ProductHunt, and IndieHackers. It scores each prospect based on relevance, recency, and engagement signals — so you only reach out to people who are likely to respond.

Can I review emails before they are sent?

Yes. Every email draft includes a confidence score, tone analysis, and risk flags. You can approve, edit, or reject individual drafts. You can also bulk-approve drafts above a confidence threshold.

What email infrastructure does ColdCopy use?

ColdCopy sends emails through Truncus, a dedicated transactional email infrastructure built for deliverability. All emails include CAN-SPAM compliance, unsubscribe links, and bounce handling.

Simulator & Training

What is the Sales Simulator?

The Simulator lets you practice outbound messages against AI prospects before sending them for real. Choose a platform (email, LinkedIn, X, WhatsApp, iMessage), set a difficulty level, select your goal (get a reply, book a meeting, qualify, partnership), and get instant feedback with a confidence score, strengths, weaknesses, and an AI-improved version.

How does the scoring work?

Every message gets scored 0-100 based on reply likelihood, with additional metrics for meeting probability, tone assessment, and risk flags. The AI evaluates differently based on your selected goal — a message optimized for getting a reply is scored differently than one designed to book a meeting.

What are training levels?

ColdCopy tracks your progression across sessions: Getting Started → Active Learner → Skilled Practitioner → Advanced Closer → Expert Closer. Each level requires more sessions and higher average scores. Your Training page shows your current level, skill score, and what you need to reach the next level.

Does training actually improve my results?

Yes. Users who train 3-5 times before launching campaigns see 2-3x higher reply rates. The simulator identifies your specific weaknesses (no clear CTA, too generic, etc.) and helps you fix them before spending real prospects.

Pipeline & Performance

How do I track my results?

The Performance page shows your complete engagement funnel (sent → delivered → opened → replied), weekly trends, best-performing campaigns, pipeline value, and AI-generated insights with recommended next actions.

What is the Pipeline page?

Pipeline is your CRM for outbound contacts. It tracks every prospect through stages: New → Drafted → Sent → Opened → Replied → Meeting Booked → Closed Won. You can filter by stage, ICP fit, and urgency — and take bulk actions on groups of contacts.

How is pipeline value calculated?

Pipeline value is calculated using your Revenue Assumptions in Settings (default: $2,000 per meeting, $5,000 per closed deal). You can adjust these to match your actual deal sizes.

Is there a free plan?

Yes. The free plan includes 1 campaign per month with up to 25 prospects, 5 simulator sessions, and full access to the training system. No credit card required.

What plan should I choose?

Operator ($199/mo) is for solo founders building their first pipeline — up to 1,000 prospects and 10 campaigns/month. Pro ($499/mo) is for teams that need consistent meetings — unlimited campaigns with up to 5,000 prospects. Agency ($1,200/mo) is for agencies managing outbound across multiple clients with unlimited everything.

How does ColdCopy compare to hiring an SDR?

Playbook & Library

What is the Playbook?

The Playbook stores your best-performing messages for reuse across campaigns. Save high-scoring messages from the simulator, then use them as starting points for new campaigns. Your top performers are ranked by usage so you always know what works.

How do I save a message to my Playbook?

After running a simulation, click "Save to Library" or "Save as template". High-scoring messages (75%+) are automatically suggested for saving. You can also save from the Training session detail page.

How do I get started in 5 minutes?

1. Go to the Simulator and practice your first message (2 min). 2. Create a campaign with your product URL and target audience (2 min). 3. Review and approve your AI-generated drafts (1 min). 4. Launch and check your Pipeline after 24 hours for opens and replies.

What should I do before launching my first campaign?

Train in the Simulator at least 3 times. This helps you understand what works, builds your confidence score, and typically results in 2-3x higher reply rates on your first campaign compared to skipping training.

What results should I expect and when?

Day 1: Emails are sent and you start seeing delivery confirmations. Days 2-3: Opens begin appearing, and first replies come in. Week 1: You should have your first meetings booked. Week 2+: Your pattern stabilizes and you can optimize based on Performance data. Reply rates typically range from 3-8% depending on targeting quality and message strength.

Best Practices

How do I write messages that get replies?

Keep messages under 3-4 sentences. Start with curiosity or a specific observation, not a pitch. End with a low-friction question (not "can we schedule a call?" but "is this something you are thinking about?"). Use the Simulator to test before sending — aim for 65%+ confidence score.

How often should I train in the Simulator?

Train 3-5 times before each new campaign. Focus on your weakest area (shown in your Training dashboard). Top users run 2-3 simulations per week to maintain their skill level and keep improving.

What makes a good campaign target?

The best prospects are people who recently showed relevant intent: posted about a related problem, launched a product, hired for a relevant role, or engaged with competitors. ColdCopy discovery sources (GitHub, HN, ProductHunt) prioritize these signals automatically.

How should I follow up?

Follow up within 24-48 hours of an open if there is no reply. Keep follow-ups shorter than the original. Reference something specific from their profile. Stop after 2-3 follow-ups — more than that hurts deliverability and reputation.

How do I improve my reply rate over time?

Check your Performance page weekly. Look at your engagement funnel — if open rates are low, improve subject lines. If opens are high but replies are low, refine your message body in the Simulator. Save winning messages to your Playbook and reuse the patterns.

Troubleshooting

Why am I not getting any replies?

Check three things: 1. Open rate — if below 30%, your subject lines need work. 2. Message quality — run your message through the Simulator and aim for 65%+ score. 3. Targeting — make sure your prospects actually need what you offer. The Performance page shows where your funnel breaks down.

Why are my emails not sending?

Verify your sending setup in Settings: sender name and email must be configured. Check that your campaign status is "sending" (not "pending approval"). Make sure you have approved drafts — unapproved drafts will not be sent. If issues persist, check your daily sending limit for your plan tier.

Why is my open rate low?

Low open rates (below 30%) usually mean: subject lines are too generic, too long, or too salesy. Try shorter, curiosity-driven subjects. Avoid spam trigger words (free, guarantee, act now). Also check that your sending domain reputation is healthy — high bounce rates can hurt deliverability.

Why is my confidence score low?

The AI scores based on reply likelihood. Common issues: no clear call-to-action, message is too long, too generic (not personalized), too salesy in tone, or no personalization. Check the risk flags and suggestions below your score — they tell you exactly what to fix. Use the "Use improved version" button for an instant upgrade.

Why are emails bouncing?

Bounces happen when prospect email addresses are invalid or the receiving server rejects the message. ColdCopy automatically suppresses bounced contacts to protect your sender reputation. If bounce rates exceed 5%, review your prospect sources — discovery-sourced prospects tend to have higher-quality email addresses than manually uploaded lists.

My simulation shows "Ghost" as most likely — what should I do?

Ghost (no response) being the most likely outcome means your message lacks a compelling reason to reply. Try: adding a specific question, referencing something personal about the prospect, shortening your message, or changing your approach entirely. Use the "Use improved version" button to see what the AI suggests.
